Job Title: GP Practice Administrator

Location: GP Practice (Meridian Practice)
Reports to: Practice Manager

Job Purpose

To provide comprehensive administrative support within a busy GP practice, ensuring efficient handling of patient information, referrals, and communication systems. The role requires proficient use of EMIS Web and document management systems such as Docman. The job is across two practices.

 Key Responsibilities 

Referrals Management

  • Process GP referrals to hospitals, clinics, and external services
  • Use the NHS e-Referral Service (e-RS) where appropriate
  • Ensure referrals are completed accurately with all supporting documentation
  • Track and follow up on outstanding or urgent referrals
  • Liaise with patients and external providers regarding referral queries

 Patient Registration & Amendments

  • Register new patients onto EMIS Web
  • Process patient deductions and transfers
  • Update and amend patient demographic details (address, contact details, GP links)
  • Ensure accurate record-keeping in line with NHS guidelines

 Document Management (Docman)

  • Process incoming clinical documents via Docman
  • Accurately code and allocate documents to relevant clinicians
  • Scan, upload, and file patient correspondence
  • Ensure documents are reviewed and actioned in a timely manner

 Task Management

  • Manage and action tasks within EMIS Web
  • Assign tasks to appropriate clinicians or team members
  • Monitor outstanding tasks and ensure timely completion
  • Respond to internal task queries efficiently

 Email & Communication Handling

  • Monitor shared practice email inboxes
  • Respond to patient and third-party enquiries appropriately
  • Forward clinical or urgent queries to relevant staff
  • Maintain professional and confidential communication at all times

 General Administrative Duties

  • Maintain accurate patient records
  • Support prescription processing workflows
  • Handle general administrative queries from patients and staff
  • Assist with audits, data collection, and reporting when required.
  • Answer patients calls and cover reception when required.

 Compliance & Confidentiality

  • Adhere to GDPR and NHS confidentiality guidelines
  • Ensure all patient information is handled securely
  • Follow practice policies and procedures

 Person Specification

 Essential

  • Previous administrative experience (preferably in a GP or healthcare setting)
  • Experience using EMIS Web
  • Experience with Docman
  • Strong attention to detail and accuracy.
  • Good customer services.
  • Excellent organisational and communication skills
  • Ability to prioritise workload in a busy environment

 Desirable

  • Knowledge of NHS referral pathways and e-RS
  • Understanding of medical terminology
  • Experience in primary care administration

 Working Environment

  • High volume of patient data and administrative tasks
  • Team-based working with clinicians and admin staff
