Senior Facilities Manager

A rewarding opportunity has arisen within our exciting and expanding organisation, looking to appoint an experienced and well-motivated Senior Facilities Manager to join us on a permanent basis.

The organisation operates primary care at scale on a national basis providing GP primary care services to over 600,000 patients out of 67 locations.

Role Responsibility

Key duties will include:

  • Reading the provision of facilities management across the estate with the use of an existing CAFM system.  The role involves identifying booking, monitoring and tracking facilities management tasks through to completion. 
  • Direct line management responsibility for the health and safety coordinator role.
  • Management and booking of regular compliance works, emergency work and standard maintenance visits across the estate, ensuring that the estate remain in a compliant and operational for our practices.
  • Maintain database of contact details for all the estates departments for managed buildings.
  • Obtaining up-to-date documentation for managed buildings, saving copies centrally, providing sites with the information an maintaining a database of documentation on the CAFM system.
  • Managing pre-planned maintenance visits for sites and maintaining live record a Logging the details on the central maintenance spread sheet, following up completed visits and obtaining copies of all works orders/certificates and saving centrally.
  • Ensuring all key holding information for surgeries is up-to-date and keeping a central matrix of all the information.
  • Contract management for our various suppliers, ensuring best value for money and service delivery continuity to our buildings and delivering a new level of contractor vetting and sourcing.
  • Managing compliance contracts, portals and actions such as legionella, gas safety, electrical safety, security, fire safety across our estate in conjunction with our H&S team.
  • Contractor management including RAMS reviews, insurance documentation reviews, contractor questionnaire reviews, reviewing and managing full approval process, ensure full compliance of contractors and ensuring new supplier forms and payment information to be put into accounts.  
  • Continuous document management of RADAR and compliance documentation folders per practice location.
  • EPC / DEC - Esurance certificates management – to be updated on trackers and monitored
  • Management of user Console access for Facilities / Estates management reporting
  • Scheduling FRAs/ LRAs, PAT / Calibrations for all self-managing practice location.  Along with Action planning and repair bookings following reports
  • Managing and documenting and responding to all maintenance request forms from facilities email.
  • Continuous and ongoing support to Practice teams.
  • Continuous involvement in training programs with Practice Manager / Safety Champion on Compliance Guides.
  • Support Practice teams during CQC inspections with regards to FM / Compliance documentation.

The Ideal Candidate

Interested? What you will need to be considered:

  • Facilities Management experience
  • Experienced in use of a CAFM system.
  • Proficient in Microsoft Suite of products including Excel, Outlook, Word, and PowerPoint
  • Experience of providing a facilities or maintenance service in a busy organisation
  • Experience of working with contractors and suppliers and monitoring of service standards
  • Understanding of compliance requirements and working with service level agreements
  • Proven experience of delivering excellent customer care and service in a large organisation
  • Experience of complaints handling and follow up procedures
  • Enthusiasm and commitment to learn about and get involved in the department’s activities
  • Strong written, oral, problem solving & time management skills
  • The ability to deal tactfully, calmly, and effectively with a wide range of people from within and outside the organisation
  • Be able to work independently without regular direct supervision
  • Understand H&S compliance regulations with regards to Risk Assessments
